Event Policy

ORGANIZING LAB EVENT POLICY

A. REFUND POLICIES

If you have registered for an Organizing Lab (“the Lab”) training but are unable to attend, please see the below policies regarding cancellations, transferring a registration to a future training, and substitutions.

1. CANCELLATION

Cancellations are accepted in writing via mail or email (contact information is listed below). ​For a full refund, written cancellations must be received thirty (30) business days prior to the start date of the training. Cancellations received fifteen (15) business days prior to the start date of the training are entitled to a 50 percent refund. Cancellations received less than fifteen (15) business days prior to the start date are not entitled to a refund. This policy is due to demand, limited space available, and the high level of customization involved in our trainings. If a program is canceled by the Lab, a full refund will be provided.

2. TRANSFER

Participants may transfer their registration to another Lab training. Transfers are accepted in writing via mail or email (contact information is listed below). Transferred credit for future training is valid for 12 months from the date of the original training. Transfers may be made up to thirty (30) business days prior to the training start date for no fee. Transfers can be made up to fifteen (15) business days prior to the training for a fee of $50, and less than seven (7) business days prior to the training for a fee of $100. If the Lab cancels the training, a transfer can be made for a future training with no fee. Transfers cannot be made after the training has started.

3. SUBSTITUTION 

Substitutions are accepted in writing via mail, email, or fax (contact information is listed below) by providing the name and contact information of the current registrant and the name and contact information of the substitute. Substitutions may be made up to thirty (30) business days prior to the training for no fee. Substitutions can also be made up to fifteen (15) business days prior to the training for a fee of $50, and less than seven (7) business days prior for a fee of $100. Substitutions cannot be made after the training has started.

4. HEALTH & SAFETY CANCELLATION

In-person trainings will be conducted in accordance with the latest health and safety guidelines. If the training is unable to be held in person, it will be postponed or, if possible, held online. Participants can choose to transfer the registration or cancel the registration for a refund.

5. NO-SHOW

Should any participant fail to attend an in-person training for which they are registered without providing written notice (contact information below) at least five (5) days in advance of training, the Lab reserves the right to charge the participant or organization up to $100 for each missed day of training and/or cancelled hotel night. This policy is due to demand, limited space available, and the high level of customization involved in our trainings.

B. TRANSLATION SERVICES

1. IN-PERSON EVENTS

​At present, the Lab provides English-Spanish translation services for training participants who have registered and paid for training, and who make the translation request via email (contact information below) at least four (4) weeks in advance of the training date.

2. PRINTED MATERIALS

​The Lab cannot guarantee the translation of any training materials, including workbooks, handouts, slide decks, etc.

C. CODE OF CONDUCT

​​

In order to participate in a Lab training or event, all attendees, speakers, sponsors, and volunteers must agree to abide by this code of conduct (“Code of Conduct”). The Lab reserves the exclusive and sole right to enforce its Code of Conduct.

1. EXPECTED BEHAVIOR

In order to support a positive training environment that builds community, the following behaviors are expected of all participants in Lab trainings and events:

  • Be present and participate actively

  • Be mindful of your surroundings and of your fellow participants

  • Act with respect towards everyone, including training or event and venue staff

  • Exercise consideration in your speech and actions

  • Behave in accordance with all professional standards (including this Code of Conduct, event/venue policies, and all applicable laws)

2. UNACCEPTABLE BEHAVIOR

Harassment, bullying, intimidation, and/or behavior that harms any other attendee’s experience or participation are unacceptable behaviors. Examples of unacceptable behavior include but are not limited to the following:

  • Demeaning, discriminatory, or harassing behavior or speech, including but not limited to personal insults, sexist, racist, homophobic, transphobic, ageist or ableist language, or any language that insults or demeans the characteristics of a person protected under US federal, state or local law

  • Unwelcome sexual attention, including sexualized comments or jokes, inappropriate touching, groping, or sexual advances

  • Deliberate intimidation, stalking, or following

  • Sustained disruptive behavior (including interrupting speakers, taking phone calls) during trainings and presentations

  • Violence, threats of violence, or violent language directed against another person or group

  • Possession of dangerous or unauthorized materials such as explosives, firearms, weapons or similar items

  • Theft or inappropriate removal or possession of property

  • Use, distribution, sale, or transfer of illegal drugs

  • Any other illegal activity or forms of harassment not covered above

 

The Lab reserves the right in its sole discretion to determine what constitutes unacceptable behavior and what actions it will take to address incidents that occur.

3. CONSEQUENCES OF UNACCEPTABLE BEHAVIOR

Unacceptable behavior will not be tolerated at Lab events and trainings. Anyone asked by a Lab trainer, contractor, or staff member to stop engaging in unacceptable behavior is expected to comply immediately. If a participant engages in unacceptable behavior or fails to comply with expected behavior at any time during the training or event, the Lab may take any action it deems appropriate, including but not limited to removing the participant from the event without a refund and barring attendance at future Lab events.

4. WHAT TO DO ABOUT UNACCEPTABLE BEHAVIOR

If you witness or are subjected to unacceptable behavior or have any other concerns at a Lab training or event, notify a Lab trainer, contractor, or staff member as soon as possible. If you have questions in advance of the event regarding the Code of Conduct or its implementation, please email Kelly Testa at kelly@statepowerfund.org.

D. AGREEMENT

​

In line with and in consideration for my participation in a Lab training or event, I accept and will adhere to these Event Policies when participating in such trainings and events. I understand that the Lab may take any action it deems appropriate, including removing me from the event without a refund, should I fail to adhere to these policies.
